Microsoft is responsible for the availability of cloud infrastructure services, but not for protecting your hosted data. Many data protection features in Microsoft 365 do not provide the ability to restore data outside of their original location. In the event of a user account failure or data transfer to another mailbox, this is no longer possible without backup. It is therefore important to emphasize that Microsoft itself recommends regularly backing up hosted data to ensure its security and availability in the long term.
Microsoft guarantees the availability of services and access to mailboxes and current data, but point-in-time recovery for Exchange Online is not part of their responsibility. Many companies do not meet their internal, legal, and industry-specific regulations through Microsoft’s retention policies. In many regulated industries, backup is required for up to 10 years.
Microsoft 365 does not stop ransomware attacks. An example of what such an attack might look like is shown in this video:
Every Microsoft 365 plan has a limited storage quota. When a SharePoint Online object is deleted, it is stored in the Preservation Hold Library. Both production data and the Preservation Hold Library count against the user’s storage quota. If you exceed this quota and need to purchase additional storage, additional monthly costs will apply.
